MISSION STATEMENT
Kalamazoo Valley Community College creates innovative and equitable
opportunities that empower all to learn, grow and thrive.
Feb. 28, 2025

Greetings college community,

The theme for Womens History Month this March is Moving Forward Together! Women Educating & Inspiring Generations.

Kalamazoo Valley Community College has been well served by inspiring female leaders and educators during its nearly 60-year history. Marilyn J. Schlack, after whom the Culinary and Allied Health building was named, was the first woman president of a Michigan community college when she became the second president of Kalamazoo Valley in 1982. She led the college for 37 years until she retired in 2018.

Five of our seven college Board of Trustees members are women. Our current chairperson, Lucinda M. Stinson, is a longtime Kalamazoo administrator, leader and educator. Chairperson Stinson leads alongside four other accomplished women: Dawn DeLuca, Mary Gustas, Dr. Kathy Purnell and Sherry Thomas-Cloud. In addition to these trustees, we greatly appreciate the leadership of Paige Eagan, Ph.D., provost and vice president for instruction and student services; Jenny Ott, faculty member and chairperson of the academic leadership council, as well as the efforts of hundreds of other dedicated and talented female staff, faculty members and administrators who are a key part of the respected reputation the college enjoys in our community.

In honor of Women's History Month, faculty, staff, students and community members are invited to a tribute to celebrate Kalamazoo leader and activist Anna Whitten, who joined the Kalamazoo Valley Board of Trustees in 1968 and served as secretary until she died in 2016. This special event takes place Wednesday, March 12 from noon - 1:30 p.m. in Room 128 in Anna Whitten Hall, concluding with a dedication of the new interactive display about Whitten in the building. Anna Whitten Hall was named after her in 2005.

Im grateful for the opportunity to recognize the leadership and contributions of the women in all facets of our lives, including in our homes, workplaces and our communities. Thank you for all that you are doing to inspire women to learn, grow and thrive here at Kalamazoo Valley.

Sincerely,

Human Resources
Kalamazoo Valley Community College Employee Handbook Changes
Kalamazoo Valley Community College has recently updated its Employee Handbook. Below is a summary of key changes you should note. To understand all of the details related to these changes, please consult the revised Employee Handbook posted on the Employee Portal.

PERSONAL RELATIONSHIPS BETWEEN SUPERVISORS AND SUBORDINATES (p. 8)
If a relationship develops between two parties in supervisory/subordinate positions, it must be disclosed in writing to the Vice President for Human Resources. Appropriate action will be taken on a case-by-case basis.

ADMINISTRATOR PROFESSIONAL OBLIGATION (p. 10)
Administrators are expected to participate in at least one commencement ceremony each year.

PREGNANCY AND CHILDBIRTH-RELATED ACCOMMODATIONS AND NURSING MOTHERS (p. 12)
Employees seeking a pregnancy or childbirth-related accommodation should submit a written request to Human Resources.

VOLUNTARY TERMINATION (p. 16)
The final day of employment for full-time staff and administrators who are separating employment voluntarily will be the last day worked. (Note: Vacation requested after termination notice has been given may not be approved.)

DRUG-FREE WORKPLACE/DRUG AND ALCOHOL POLICY (p. 21)
The following subsections have been added:
  • Prohibited substances
  • Prescription and over-the-counter drugs
  • Drug and alcohol testing
PAYROLL DEDUCTIONS (p. 30)
Employees are responsible for carefully monitoring their pay to ensure they have been properly paid for all hours worked. If you believe you have not been paid for all hours worked, or if you believe that deductions have been improperly/incorrectly made from your pay, you must immediately report this to Human Resources so that the College can promptly investigate and make any necessary corrections.

COMPENSATION - EMERGENCIES (p. 33)
Emergency call-in pay for hourly employees has been clarified. An emergency call-in is defined as work outside of an employees normal work hours or schedule that is required with less than 24 hours notice.

GRATUITIES (p. 34)
The acceptable gratuity value (such as gifts from vendors) is now $100.

SHORTER LEAVE TIME INCREMENTS (p. 36, 40, 41, 44)
New increment rules for paid leave eligible, non-bargaining unit, staff and administrators:
  • Vacation leave may be taken in two-hour increments (formerly four hours).
  • Business leave may be taken in 15-minute increments (formerly 30 minutes).
  • Accrued paid leave will be utilized in any increment available so as to exhaust balances of vacation, sick and/or business leave before an employee is eligible for unpaid leave.
SICK LEAVE (p. 42)
In response to the State of Michigans Earned Sick Time Act (ESTA), effective Feb. 21, 2025, the Sick Leave section of the Employee Handbook has been updated. The most significant change is for part-time staff not covered under a bargaining agreement. These employees will begin accruing paid sick leave at a rate of one hour for every 30 hours worked. These new accruals will be added to balances already in place.

PARENTAL LEAVE (p. 44)
Full-time faculty, staff and administrators may request to borrow up to 160 hours from future sick leave balances for paid parental leave.

SHORT-TERM DISABILITY BENEFIT (p. 48)
Employees qualifying for short-term disability will be required to supplement this benefit with their accrued paid leave time. (Before revision, employees eligible for STD benefits would receive a percentage of their pay. Now they will receive that pay percentage, but will also be required to use their paid leave time to supplement the benefit so that their pay will total 100% of their usual pay.)

TUITION WAIVER (p. 50)
The Tuition Waiver takes the place of the Investing in Your Future Tuition Plan and the Tuition Reimbursement Plan for Dependents of Full-Time Employees. The Tuition Waiver provides full-time employees and their spouses and qualified dependents the opportunity to register for and attend classes at Kalamazoo Valley without paying for the tuition in advance.

We recommend that you review the complete Employee Handbook on the Employee Portal. Questions? Contact Amy Reynolds, Director of Human Resources, at areynolds2@kvcc.edu or x4576.

Reporting a Death
It is always difficult when a member of the Kalamazoo Valley family passes away. Both current employees and those who have retired or otherwise moved on have made an impact on us at the college and are greatly missed. When a colleague passes away, we work to find a balance between sharing accurate information, and respecting the privacy of surviving family members.

To ensure that we are best positioned to communicate appropriately, we are asking all employees to follow the following protocols:
  1. If any employee is contacted by the family of a former employee who has passed away, please direct them to call the Human Resources main line at 269.488.4228.
    • Employees who have received a message (voicemail or email) should forward the message to HR@kvcc.edu.
  2. Human Resources will verify the information shared to determine what level of contact the family will accept.
  3. Upon verification, Human Resources will share the information with the Presidents office, the Information Technology department, Business Office/Payroll, Public Safety, Facilities, the KVCC Foundation and appropriate Cabinet members.
  4. If appropriate, the former employee will be recognized at the Kalamazoo Valley annual Arbor Day celebration and in the employee newsletter.
If there are questions regarding these protocols, please contact Aaron Hilliard, vice president for human resources, at 269.488.4409 or via email at ahilliard@kvcc.edu

Information Technology
Phishing and Ransomware Campaigns on the Rise
Please be aware of an active phishing and ransomware campaign targeting organizations using Microsoft Teams. Cybercriminals are impersonating IT support personnel to gain unauthorized access to systems and deploy ransomware.

How the Attack Works:
1. Email bombing: Victims receive spam emails creating a sense of urgency.
2. Fake IT support: Attackers message victims over Microsoft Teams, posing as IT support or help desk managers.
3. Remote access: Victims are tricked into granting remote screen control, allowing attackers to deploy malware.
4. Credential theft: Attackers disable multi-factor authentication (MFA) and antivirus protections, then move laterally within the network.

What You Can Do:
Be skeptical: Verify the identity of anyone claiming to be IT support. Call IT staff directly or the IT help desk at x4250 or x7925.
Report suspicious Activity: Report any unusual emails or messages to the IT department.
Stay informed: Regularly update your knowledge on phishing tactics and cybersecurity best practices.

We are committed to our network security and are actively working to enhance our defenses against these threats. Nevertheless, stay vigilant!

Clifton strengths gallup
Lead with Your Strengths
Were excited to reinvest in our journey of being a strengths-based organization by utilizing the CliftonStrengths Assessment. Developed by Gallup, the assessment is designed to help individuals identify their unique strengths and talents. It is based on the idea that people are most effective and engaged when they leverage their natural talents.

To that end, the college now has four certified Strengths coaches: Renee Martin, Mary McConnell, Miranda McDowell and Amy Reynolds, who will oversee the assessment and interpretation of the results. Martin and Reynolds will work with faculty and staff while McConnell and McDowell will connect students with CliftonStrengths. They will be assisted by 24 Strengths champions from different areas of the college.

If you havent taken the CliftonStrengths Assessment, you are encouraged to sign up to explore CliftonStrengths and discover new opportunities for growth and how you can lead with your Strengths.

Here is how to get started:
  • With supervisor approval, register to attend the March 28 session at 10 a.m. in Room 4370/80 (TTC).
  • You will receive a code from one of the Strengths coaches before the session. The code will allow you to complete the CliftonStrengths assessment. The assessment will take approximately 45 minutes to complete.
  • Attend the session to learn more about how to read your report, dive into your top strengths and focus on what you do best.
If you cant make it on March 28, additional sessions will be forthcoming. Questions? Email strengths@kvcc.edu.
